What we hear from charities

The problems this sector actually has.

Not a generic technology pitch — the specific patterns we see in Charities every week.

Helplines staffed by volunteers from home

Volunteers on a rota need to answer the helpline from wherever they are, with the right training, the right escalation and no exposure of their personal number.

Safeguarding and vulnerable callers

Calls may involve disclosures that must be recorded, retained and escalated properly. A default "record everything" setting is not a safeguarding policy.

Budget scrutiny from trustees and funders

Every pound on overheads is a pound not spent on the cause. Trustees want to see value, and funders want evidence of good governance including data protection and cyber security.

Charity shops, offices and centres on separate contracts

A dozen sites, each on its own broadband and phone contract, each renewing at a different time, none of them reviewed. Nobody at head office has the full picture.

Data protection with limited IT capacity

Donor data, beneficiary records and case notes are sensitive. Most charities have a part-time IT contact at best, and Cyber Essentials is increasingly a funding requirement.

Everything in one accountable partner

Phones, broadband and CCTV — designed as one system.

Most providers deliver these separately. In Charities, that's where the problems start. Under one team, everything is designed to work with everything else.

Business phone systems

Cloud phone systems for helplines, fundraising and multi-site teams.

Explore business phone systems
  • Helpline queues with callback, opening hours and after-hours signposting.
  • Volunteer apps on mobile or browser presenting the charity's number.
  • Rota-based routing — the helpline follows whoever is on shift.
  • Safeguarding recording policy with restricted access and documented retention.
  • Warm transfer and escalation to safeguarding leads.
  • Fundraising and supporter-care queues with CRM integration.
  • Integration with Salesforce Nonprofit Cloud, Beacon, Donorfy, Blackbaud and Microsoft Dynamics.
  • Reporting for trustees and funders — calls answered, wait times, outcomes.
Connectivity for shops, offices and centres

Every site online, every contract reviewed.

Explore connectivity for shops, offices and centres
  • Business FTTP with 4G failover for shops, offices and community centres.
  • Contract audit across all sites — one renewal date, one bill.
  • Public Wi-Fi with content filtering for community spaces.
  • Cloud-managed firewall and secure remote access for staff and volunteers.
  • Card-payment network segmentation for charity shops.
Managed IT and Microsoft 365

Secure, affordable IT that satisfies funders.

Explore managed it and microsoft 365
  • Microsoft 365 non-profit licensing set up and managed.
  • MFA, device management and backup across staff and volunteer accounts.
  • Cyber Essentials readiness and evidence for funding applications.
  • Secure handling of donor and beneficiary data.
  • Helpdesk with a named engineer and agreed response times.
  • Volunteer onboarding and leaver process — accounts and access in one ticket.
A real engagement

How it plays out.

Anonymised, illustrative of the kind of Charities business we work with every month.

Case scenario

Typical deployment: regional charity with a helpline, head office and nine shops

Situation

Helpline answered on a single diverted mobile passed between volunteers. Head office on a legacy phone system. Nine charity shops on nine separate broadband contracts, several out of contract at rack rates. Trustees asking for Cyber Essentials to satisfy a major funder. Donor data held in a CRM with shared passwords.

Outcome

Cloud phone system with a helpline queue that follows the volunteer rota, callback for busy periods, after-hours signposting and a documented safeguarding recording policy. Volunteers answer through an app that never reveals their personal number. All nine shops moved to business FTTP with 4G failover on one contract and one renewal date, saving against the old rack rates. Microsoft 365 non-profit licensing brought under management with MFA and backup, and a Cyber Essentials evidence pack prepared for the funder. Trustees receive a quarterly report covering helpline performance and spend.

Questions

Common questions from charities.

Can volunteers answer the helpline from home without using their own number?

Yes. Volunteers use a mobile or browser app that presents the charity's helpline number. Their personal number is never shown, and the helpline follows the rota so calls only reach whoever is on shift.

How do you handle recording where calls may involve safeguarding disclosures?

We agree a written policy with your safeguarding lead — which lines are recorded, the announcement callers hear, who can access recordings and for how long they are kept — and configure the system to match. Warm transfer to a safeguarding lead is built into the call flow.

Do you offer charity pricing?

We set up and manage Microsoft 365 non-profit licensing, review every connectivity contract across your sites for savings, and price phone systems on a per-user basis that scales with volunteers coming and going.

Can you help us meet a funder's Cyber Essentials requirement?

Yes. We bring Microsoft 365, devices, network and backups to the Cyber Essentials baseline and prepare the evidence, so the requirement is met before the application deadline rather than after.
