How a recruitment phone system works, call by call
Four things happen around every call. Most agencies buy a phone system that does the first and leaves consultants to do the other three by hand. The difference between click-to-dial and automatic call logging is the difference between saving a few seconds and saving a few hours a week.

The consultant clicks a number on a candidate, contact or job record in the CRM and the call is placed from their business number — on a deskphone, laptop softphone or mobile app. No retyping, no mis-dials, no personal mobile.

On an inbound call, the platform matches the caller's number against the CRM and opens the record before the consultant answers. A returning candidate is greeted by name; an unknown number is flagged as new.

Your geographic and 03 numbers are portable between UK providers, but only if you are the customer of record. We confirm that before anything else, because it decides the timeline.

What affects the cost of a recruitment phone system
We do not publish a single price because two fifteen-seat agencies can be genuinely different quotes. These are the factors that move the number, so you can compare proposals on the same basis.
- Seats and how they are used
- A consultant seat with CRM integration, recording and analytics costs more than a back-office seat that just needs a number. Most proposals mix the two.
- CRM integration depth
- Click-to-dial alone is usually included. Automatic logging, screen-pop and AI summaries written back to the CRM depend on the CRM's API or CTI licence and are priced per seat.
- Call recording and retention
- Recording is standard; long retention, compliance-grade storage and searchable transcription add storage and licence cost.
- Handsets versus softphones
- Most agencies now run laptop softphones and mobile apps with a small number of deskphones for reception. Handsets can be bought outright or on a separate agreement — never buried inside the service charge.
- Connectivity and resilience
- A dialling floor needs bandwidth sized for concurrent calls and a 4G/5G failover. Whether you need FTTP, SoGEA or a leased line depends on seats and the building.
- Numbers and call plans
- Number of DDIs, non-geographic numbers, international calling and inclusive minutes. Temp desks with heavy mobile calling are priced differently from perm desks.
- Contract term

Recruitment telephony: frequently asked questions
What makes a recruitment phone system different from any other business phone system?
Three things: integration with a recruitment CRM so dialling and logging are automatic, outcome and activity data good enough to manage a desk on, and recording governance that stands up when a client audits you. A generic phone service can make and receive calls. It will not do those three.
Can consultants keep the same business number on mobile and desktop?
Yes. Each consultant has one business number that rings on a laptop softphone, a mobile app and, if wanted, a deskphone. Outbound calls from any of them show the same number, are recorded and are logged to the CRM in the same way.
How are calls logged against candidates and clients?
The platform matches the number dialled or received against the CRM. If it matches a candidate or contact, the call activity — time, duration, direction, outcome and recording link — is written to that record automatically. If there is no match, the consultant is prompted to create or link a record. Atom Insight adds the summary and next actions to the same activity.
What is the difference between click-to-dial and automatic call logging?
Click-to-dial places the call from the CRM record so the consultant does not type the number. Automatic call logging records the fact and outcome of the call back into the CRM without the consultant doing anything. Many phone systems offer the first and call it "integration". Only the second removes post-call admin and makes activity reporting reliable.
How do AI call summaries fit into the consultant's workflow?
When a call ends, the transcript is summarised and attached to the CRM activity within a minute or so, alongside suggested next actions. The consultant reviews it in the record, edits anything that needs it and moves on. Nobody writes up calls at five o'clock, and the detail of a morning call is still accurate in the afternoon.
Can managers see activity across multiple offices?
Yes. Reporting and wallboards are scoped by role: a branch manager sees their office, a brand lead their brand, and group directors the whole business. The data is the same platform record everywhere, so offices are compared on the same basis.
What happens to calls when consultants work from home?
Nothing changes for the caller. The consultant's business number rings on their laptop or mobile app at home exactly as it does at a desk, calls are recorded and logged to the CRM, and their activity appears on the wallboard alongside office-based colleagues. We check home broadband is adequate for voice as part of onboarding.
What happens if the office internet connection fails?
Calls carry on. Office connectivity is designed with automatic 4G/5G failover so the floor keeps dialling during a fibre fault, and because the platform is cloud-based, consultants can also simply continue on mobile apps. Inbound numbers are not tied to the office line, so they keep ringing.
Can we keep our existing phone numbers?
Yes. UK geographic and 03 numbers port between providers. We confirm you are the customer of record, check the port is possible, then schedule it with parallel running so inbound calls keep arriving throughout.
Can we move one team or office at a time?
Yes, and for anything over about twenty seats we recommend it. A pilot desk goes live first, then remaining desks, offices or brands move in agreed waves with numbers ported in tranches. The old system stays live until the final port.
What affects the cost of a recruitment phone system?
Seat count and seat type, depth of CRM integration, recording retention, handsets versus softphones, connectivity and failover, numbers and call plans, and contract term. What if our current contract has eighteen months left?
Then in most cases you should stay where you are, and we will say so. We will diarise the right date, tell you what notice to serve, and pick the conversation up then.
Is this suitable for a small recruitment agency with only a few consultants?
Yes. Small agencies are a large part of our recruitment work. How quickly can a new consultant be set up?
Usually the same day, and normally before their start date. Adding a recruiter is configuration: an extension, a direct dial number, CRM link, recording policy and app login. If they need a desk handset it is shipped pre-configured and plugs straight in.
Do you provide call queues and hunt groups for inbound candidate and client lines?
Yes. Inbound numbers can ring a desk in sequence, ring several consultants at once, queue callers with position announcements, or route by time of day and skill. Overflow goes to another desk, a mobile app or voicemail-to-email rather than ringing out, and every missed call is reported.
Can each consultant have their own direct dial number?
Yes. Each recruiter can have a direct dial (DDI) that rings their desk phone, laptop and mobile app together and is presented on outbound calls, so clients and candidates keep one number for their contact. Desk and brand main numbers sit alongside for inbound routing.
