Vincere + telephony

Vincere phone system integration for recruitment and staffing firms

Vincere is a recruitment operating system rather than a bare applicant tracker, and agencies that run it tend to care about pipeline data being clean. That makes telephony integration more important, not less: a dial that does not get logged is a gap in the dataset your entire desk reporting sits on. Here is how we connect a cloud phone system to Vincere, and what to check before you buy.

In short
  • Click-to-dial and inbound screen-pop so consultants stop retyping numbers and stop answering blind.
  • Automatic activity write-back keeps Vincere reporting honest without relying on consultant discipline.
  • Recording links stored against the record for coaching and dispute resolution.
  • Vincere is now part of the Bullhorn group, so we scope both platforms in the same conversation if you are mid-migration.

Why integration matters more on a data-led CRM

Vincere’s value comes from its reporting and pipeline visibility. Every unlogged call quietly degrades that. Integrating telephony closes the gap at the source, because the phone system reports the call rather than the consultant remembering to.

  • Activity data is captured at the moment of the call, not reconstructed at 5pm.
  • Outcome dispositions are consistent across consultants, so desk comparisons mean something.
  • Talk time and connect data sit alongside submissions and interviews in the same picture.
  • Managers can review the actual conversation rather than the note about the conversation.

What we configure

A standard Vincere telephony deployment for a UK agency covers the following. Each item is confirmed against your tenant and your licence before rollout.

  • Click-to-dial from the records your consultants actually work in, including list and pipeline views where supported.
  • Inbound matching on caller line identity with a clear prompt when more than one record matches.
  • Call activity write-back with direction, duration, outcome and a link to the recording.
  • Consistent outbound caller identity across softphone, browser, desk phone and mobile.
  • Voicemail-to-email and missed-call alerts so client callbacks are not lost between desks.
  • Optional AI call summaries and next actions written back via Atom Insight.

Integration capability depends on your Vincere plan and on API access being enabled by your administrator. We check this first and tell you plainly if something you have been promised elsewhere is not available.

Migrating between recruitment CRMs without re-buying your phones

Agencies change CRM more often than they change phone system, and a lot of pain comes from telephony being welded to one platform. We deliberately design the other way round.

  • The phone system stays; the connector changes. Your numbers, call routing and recordings are unaffected by a CRM move.
  • We can run integrations against two CRMs during a transition period so no activity is lost mid-migration.
  • Number ranges, DDIs and IVR routing are documented, so nothing is rebuilt from scratch when the CRM changes.

Pre-integration checklist

  • Confirm your Vincere plan and that API access is enabled.
  • Agree which activity types call logs should map to.
  • Decide whether recording is on for all calls, outbound only, or by desk.
  • List the desks and brands that need separate outbound numbers.
  • Check your current telephony contract end date before committing to anything.

Frequently asked questions

Is Vincere the same company as Bullhorn now?

Vincere became part of the Bullhorn group following its acquisition in 2023, and continues to be sold and supported as a product. From a telephony point of view we treat them as separate integrations, because the connectors and field mappings are different.

Can we keep our existing phone numbers?

Yes. UK geographic numbers are portable between providers. We audit which numbers and DDI ranges you hold, confirm they can be ported, and run the port so calls are not interrupted.

Do we lose the integration if we switch CRM later?

No. The phone system is the constant. We reconnect it to the new CRM and your numbers, routing and recordings carry on untouched.

Will this work for consultants working from home?

Yes — the softphone and browser connector behave identically wherever the consultant is, provided their connectivity is sound. Where home broadband is the weak link we address that separately rather than pretending the phone system can fix it.
